The Administrative Assistant is responsible for supporting all administrative duties at our Redwood City location.  The Administrative Assistant ensures that the office is operating smoothly while understanding the dynamics of working in a start-up environment. The Administrative Assistant is a skillful, friendly, and agile professional with a minimum of 3+ years’ experience in an administrative role. This position requires a can-do attitude, the ability to work well in a fast-paced, growing environment and to be personable with team members.  This is on-site role.

 

Essential Responsibilities:

  • Ability to work on-site.
    • On a daily basis:
      • Complete expense reports for Senior Management
      • Oversee and support all administrative duties as necessary including, supporting the CEO’s Executive Assistance and the Office Manager;
      • Ordering and picking-up food;
      • Assist with ensuring that the office is operating smoothly;
      • Perform general facilities maintenance of kitchen and office supply closet;
      • Perform other related duties as required
    • Manage and organize office supplies inventory and place orders as needed
    • As needed, perform receptionist duties: greet visitors, answer and direct phone call.
    • Receive and sort incoming mail and deliveries; and manage outgoing mail and packages
    • Prepare communication such as memos, emails, invoices, reports, and other correspondence
    • Identify opportunities for process and office management improvements

 

Education and Experience Requirements:

  • Associate degree at minimum in business administration, communications, or a related field
  • At least 2 - 3 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail with strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Must be proficient with the Microsoft 365 and MS Teams
  • Team player with a passion to work closely with others while maintaining an entrepreneurial, self-starter spirit
